Just-in-Time Requests (NIH)

Information:

If a decision is made to fund your application, the assigned Institute at NIH will need the following information, as applicable, PRIOR to making an award.

  • Current Other Support – Use the sample format provided on the “Other Support Format Page” in the PHS 398 Fillable Forms (http://grants1.nih.gov/grants/funding/phs398/phs398.html#forms). For all Key Personnel, you will need to provide details on how you would adjust any budgetary, scientific, or effort overlap if this application is funded.
  • Certifications – If human subjects are involved, the assurance type and number (if changed from the initial submission) and the certification date of IRB review and approval will need to be provided. Pending or out-of-date approvals will not acceptable.
  • If vertebrate animals are involved, the assurance number (if changed from the initial submission), verification of IACUC approval with date, and any IACUC-imposed changes will need to be provided. Again, pending or out-of-date approvals will not acceptable.
  • Human subjects education – For grants involving human subjects, certification will need to be provided that each person identified as key personnel involved in human subjects research has completed an educational program in the protection of human subjects.

The Other Support and human subject education information should be submitted within two weeks of receipt of a JIT notice. If IRB and/or IACUC approval has not yet been received, these can be submitted as soon as received.

JIT information may be submitted using the Just-in-Time feature of the NIH Commons online site (https://commons.era.nih.gov/commons/index.jsp ). If using the Commons, ALL information must be submitted at one time. When you submit JIT information this way, it will be routed to your SPS office, and your JIT information will be verified and submitted to NIH by an authorized institutional business official.

Alternatively, the JIT information can be submitted via hard copy to your SPS office. There it will be reviewed, countersigned by an authorized institutional business official, and faxed to NIH as directed by the JIT notice.
